Vigilo

Dashboard

Your organization's compliance at a glance: the rate, the counters and what to handle first. Every figure opens the matching list.

Compliance rate

Share of compliant requirements (including those expiring soon) among those that apply. An overdue, expired or blocked requirement counts as non-compliant; a closed requirement is not counted. Waivers count as compliant or are left out of the rate, depending on Settings › Dashboard, where the green and orange thresholds are also set. “Getting started”: no due date has passed yet. If you also supply documents to your customers, a second rate, for the documents you provide, is shown separately, never mixed. A member limited to some sites sees the rate of their sites. Under the rate, the number of active third parties without any requirement counted; a click lists them.

Fields and buttons
Getting started
Shown until a first due date has passed: the rate would not mean anything yet. The first due date is given.
Rate: documents to provide
The documents you provide to your customers or landlords, counted apart from the rate of documents to receive.

Counters

Non-compliant, Expiring soon, In progress (document to request, requested or rejected before the due date; submitted or in review, even after it), Compliant, Waived and Sites. “Expiring soon” is included in “Compliant”, and so is “Waived” when Settings › Dashboard counts waived requirements as compliant. “Requirements without a recipient”: the third party has no reachable contact. “Reminders used up”: every reminder has been sent and nothing was submitted. A click opens the filtered requirements list. “Overdue findings” appears when a finding is past its date. A card counts the “This does not concern me” answers of third parties that await your decision.

Fields and buttons
Non-compliant
Overdue, expired, or blocked by a finding.
Expiring soon
Compliant, but the evidence expires within the type's alert period (30 days by default).
In progress
Evidence to request, requested or rejected before the due date; submitted or under review, even after it.
Compliant
Approved and valid evidence, including what expires soon.
Waived
Waived requirements; counted as compliant or left out of the rate, as set in Settings › Dashboard.
Sites
Active sites in your scope.
Requirements without a recipient
The third party has no reachable contact: no reminder can go out. Add a contact who receives requests.
Reminders used up
Every planned reminder has gone out and nothing was submitted: call the third party or remind them by hand.
Overdue findings
Findings past their correction date; a click opens the list of overdue findings.

Priorities, sites to watch, trend

“To handle first” lists the requirements that call for an action (overdue, documents to provide or to check, due soon), not the compliant ones; “See the schedule” opens the schedule filtered on “To act on only”. “Sites to watch” shows at most five sites under the target or with a non-compliant requirement, lowest rate first; requirements without a site come apart, last. The curve shows the rate over 12 months, with the target; “Show monthly values” shows it as a table.

Setting up Vigilo

The steps that take a new account to its first reminder. First three checks, before the first email leaves: the organization (sender name, address that receives the replies, language), the reminder calendar (when the request and the reminders are sent, how many at most) and the first request email; each shows the settings in force, “That's right” confirms it, “Change” opens the setting. Then the data, in the order things are created: sites, third parties and their contact, compliance types, requirements, active reminders. Each open step links to its action according to your role; if the reminders do not leave, the step says why, requirement by requirement, with a link to lift the block. Once everything is done, “Setup complete” and “Do not show this help again” (owners and admins); it is turned back on in Settings. A lot of data? Import it from Excel or CSV.

Account administration

For owners and administrators, below the compliance part. “To review by your team”: documents waiting for your decision, with how long the oldest has waited (amber from 7 days). “Account health”: settings to fix, blocking ones first. “Team”: members, sign-ins in the last 30 days, pending or expired invitations, members without two-factor authentication or passkey (marked in Settings › Members), temporary accesses ending. “Last 30 days”: documents received, approved, rejected (a click opens the filtered audit log), emails to third parties sent or failed. “Integrations”: API keys, webhooks, last import. “Support”: your open requests. “Subscription”: plan, service and number of tracked items.
