Reports
Compliance views on screen, Excel, CSV and PDF exports, reports sent by email on a schedule, and the monthly activity.
Views and filters
Eight views: “Requirement detail”, “Upcoming deadlines”, “Summary by site”, “Summary by type”, “Summary by third party”, “Rollout”, “Waivers” and “Findings”. The filters (portfolio, site, compliance type, compliance, due date, status, third party…) apply to the view and to its export. “Findings” lists one finding per line, with two filters of its own: “Severity” and “Finding state”.

- Upcoming deadlines

- Summary by third party

Rollout and waivers
“Rollout” follows how third parties come on board: by week of first request, or by portfolio with “Group by”, how many were asked, opened their link, sent a document and are compliant. A third party in several portfolios counts in each; the tiles count it once. “Not asked yet” gathers those never asked. A third party who emails its documents, uploaded by you, counts as having submitted without having opened its link. Schedule it weekly during a rollout. “Waivers” lists waived requirements, nearest end first, with the reason and who granted it; those without an end date come last.
Fields and buttons
- Rollout
- How third parties come on board after their first request: requested, link opened, submitted, compliant.
- Group by
- By week of first request or by portfolio.
- Asked
- Third parties who received a request or a reminder by email, or a link handed over by a member.
- Opened the link
- Third parties who opened their submission link.
- Submitted
- Third parties who submitted at least one piece of evidence, through their link or through you.
- Compliant
- Third parties whose counted requirements are all compliant.
- Not asked yet
- Third parties never asked.
- Waivers
- The waived requirements, from the nearest end to the furthest, with reason and author.
- Ending within 30 days
- Waivers ending within 30 days: the requirement becomes due again.
Export
“Export” produces an Excel, CSV or PDF file with exactly the filters shown. A file that takes a few seconds is prepared under the buttons with its progress in %, then downloaded. Beyond 30 s, or 2,000 rows in PDF (the button then shows a clock), the file is prepared in the background: a notification and an email tell you when it is ready, and “My exports” keeps it for 7 days, for you only and while your rights stay the same (“Run again” reopens the report with its filters). Beyond 100,000 rows (2,000–5,000 in PDF), the export is refused with its number of rows: narrow the filters. “Columns” (above the table) chooses and orders the view's columns: the table, the three files and a schedule created afterwards use them, and the choice is kept for you; “Default columns” forgets it. Without a choice, Excel and CSV add the identifiers (site code, registration and VAT numbers, external reference), your custom fields and, when it is on, the day of your reminder step. Viewers can export only if an owner or an administrator allows it (Settings › Sign-in security). “Download evidence” produces a ZIP of the approved evidence, sorted by third party then by date, with a register and the SHA-256 fingerprints, for an inspection or an insurer: the evidence valid during a period, the latest for each requirement, or all of it. It keeps the report's filters on the type, site, third party or portfolio, not those on the status or the dates.
Fields and buttons
- Export
- Excel, CSV or PDF with the filters and columns shown; a large file is prepared in the background. A CSV's name gives its number of rows; the journal keeps each file's filters, number of rows and SHA-256 fingerprint.
- Columns
- Chooses and orders the view's columns, for you; the table, the files and a schedule created afterwards use them.
- Default columns
- Goes back to the view's standard columns.
- My exports
- The files prepared in the background, kept 7 days, for you only.
- Download evidence
- ZIP of the approved evidence (of a period, the latest for each requirement, or all), sorted by third party, with a register and their SHA-256 fingerprints.
Scheduled reports
“Schedule this report” sends the view and its filters by email at a set time: daily, weekly or monthly, in the chosen format and language. Recipients: the organization's owners or addresses (one per line, no Vigilo account needed). “Scheduled reports” lists them with their next and last sending. A sending holds up to 100,000 rows (5,000 in PDF), in an attached file of 10 MB at most.
Fields and buttons
- Schedule this report
- Sends this view and its filters by email at a set time.
- Scheduled reports
- The scheduled sends, with their next and last send.
- Frequency
- Daily, weekly (chosen day) or monthly (chosen day of the month).
- Time
- Local time of the organization.

- Request to approval
- Median, for the documents approved in the month, of the time from the first request to the third party (email or link handed over) to the approval. An organization figure, never per third party.
- Submission to decision
- Median, for the documents a member approved or rejected in the month, of the time from the submission to the decision. Automatic approvals do not count.
